Descriptif du poste

Key responsibilities:

1. Office operations

  • Ensure the smooth day-to-day running of the office (supplies, equipment, maintenance, badge access).

  • Be the main point of contact with the space provider (coworking / landlord).

  • Ensure compliance with fire safety and local regulatory obligations.

  • Monitor office occupancy trends and anticipate future space needs.

  • Manage the relationship with building- and equipment-related vendors (cleaning, security, maintenance).

  • Ensure the office quality meets Agicap's standards.

2. Office life and employee experience

  • Organize team events and initiatives that foster cohesion and employee engagement.

  • Manage employee services (snacks, drinks, amenities, small orders).

  • Act as the local point of contact for the needs and feedback of the German team.

3. Onboarding / Offboarding

  • Prepare the arrival of new joiners (workstation, equipment, welcome pack).

  • Support departing employees (administrative and logistical offboarding).

4. Administrative support and local compliance

  • Provide first-level support on administrative matters (supplier contracts, invoices, expense reports).

  • Contribute to monitoring local legal obligations, working with the Legal, Finance, and HR teams at headquarters.

5. Reporting and coordination

  • Provide regular reporting to the manager on activity and ongoing topics.

  • Take part in Office Management team meetings and contribute to sharing best practices across offices.

  • Monitor the Berlin office's operating budget.

Profil recherché

  • Native or fluent German, with professional-level English required to communicate with the manager and colleagues.

  • Proven experience in a similar role (office management, administrative coordination, facilities) within an international

    environment.

  • Strong sense of organization, autonomy, and rigor, with the ability to manage a wide range of information.

  • Good interpersonal skills, service-oriented mindset, and ability to work in a multicultural environment.

  • Flexibility and pragmatism, comfortable switching between different tasks.

    Contract type: Permanent contract - 50% - 4h/day – Monday to Friday
